Due to our dynamic development, we are seeking talented individuals to join our team as a:
PMO Specialist
Your responsibilities will include:
- End-to-end administration and financial coordination of R&D projects, including preparation of documentation, reports, and financial forecasts.
- Monitoring project budgets, controlling costs, ensuring compliance with contractual and grant requirements, and preparing financial analyses.
- Coordinating procurement processes in line with project and regulatory requirements.
- Collaborating with Project Managers on planning, tracking, and controlling project execution.
- Working closely with Finance, Accounting, and HR teams to ensure accurate and timely project delivery and reporting.
- Coordinating settlements with partners, subcontractors, and suppliers, and overseeing project documentation flow.
- Preparing documentation for audits and inspections and supporting audit processes.
- Contributing to project budgeting and supporting financial planning and analysis activities.
What we are looking for:
- University degree (higher education).
- Minimum 2 years of experience in project administration, coordination, or financial management (preferably in R&D or grant-funded projects).
- Understanding of R&D project frameworks and grant-funded programme environments.
- Practical experience in budgeting, financial reporting, and cost control.
- Very good command of English, both written and spoken.
- Strong MS Office skills, especially Excel.
- Ability to manage multiple priorities, work independently, and maintain high attention to detail and responsibility.
- Willingness to work in a hybrid model (2–3 days per week from the Warsaw office).
- Experience in publicly funded projects is an advantage.
Nice to have:
- Experience working in international projects or consortia.
- Experience in procurement processes.
- Advanced knowledge of grant funding frameworks and R&D project methodologies.
